SRC-RTS Login

This link provides access to the SRC-RTS Login page. From this page approved Users may login to access the Record Tracking System and see their agency records collections. This link is also used to add new boxes to the system and request records from the collection stored at the State Record Center.

The SRC User Guide is available to DOWNLOAD. This User Guide is also available from the Login page and should be able to answer most questions from how to input new boxes to how to view the boxes that are in the collection. Please contact your Agency Records Officer to obtain approval.

If you are sending 25 or more boxes to Records Management please feel free to use this  boxes upload spreadsheet instead of entering those boxes through the Record Tracking System. If you are entering 25 or more files please feel free to use this files upload spreadsheet instead of entering those files in the Record Tracking System.

Pilot Program for Remote Access to files:

Scan on Demand

Scan-On-Demand is a new service that allows state agencies to receive a scanned image of records that need to be recalled from the State Record Center, rather than the paper copy.

How the process works

     1. When you request a record via the RTS, add a note in the description box that you want the record sent electronically and put the email address that it needs to go to in the ship to box.

     2. Records Center staff pulls the file and detemines if it can be scanned and sent electronically. If requested, Records staff can estimate the size of the file before scanning.

     3. Scanned images are sent within 24 business hours using the state email system or a Secure File Transfer Protocol (FTP) server.

     4. File requests under 25 pages will be provided at no cost to the agency. Files requests over 25 pages will have a cost of $0.04 per image. All records officers will need to fill out the approval form sent in an email to give permission for larger files as needed and give permission to be charged for this services. A 100 page file would cost the agency $3.00(no charge for the first 25 pages).
